Checklist for Hosting Remote Depositions During COVID-19

In light of the COVID-19 Pandemic, Jilio-Ryan Court Reporters is offering Remote Deposition hosting complimentary.
We use a software called ZOOM which will allow everyone attending the deposition to appear via phone, smartphone, video conferencing unit, desktop, laptop or tablet.
All participants will need the following on their device: microphone, camera, screen and ability to connect to the internet.
Everyone attending will receive a link to the Zoom room the day prior to the deposition and we will run a quick test to confirm everyone can connect. They will use the same link the day of the deposition.
For exhibit sharing, there is a way to share exhibits through the chat feature on Zoom. Attorneys would be able to drag the document from their computer into the chat and click on a tab for everyone to see it.
THE FOLLOWING ARE STEPS YOU CAN TAKE TO ENSURE THE HIGHEST QUALITY POSSIBLE:
- Use a computer with a hard wire ethernet connection.
- Provide us with at least 24 hours notice. This will give us time to run a test with everyone attending.
- The day of the deposition everyone should log in 20 minutes prior to the start time in order to work out any issues that may arise.
SHARING EXHIBITS VIA ZOOM:
- When you are ready to share an exhibit you will click on the CHAT button at the bottom of your window.
- In the chat message where it says “to:”, verify the tab selecting “EVERYONE” is highlighted. This ensures everyone will see the exhibit.
- When it’s time to enter an exhibit into the record, simply go to the file on your computer and browse for the document. You will select the document and click on open. The exhibit will then appear in the chat room for everyone to see.
- At the end of the deposition the reporter will download all of the exhibits and her set will be the originals.
VIDEOTAPING THE WITNESS:
We have multiple videographers who are able to connect the Zoom feed to a monitor which they will film. A sample of this is available if needed.
